You are approved for expenses within the budget thresholds of up to $250 for outings and up to $100 for other engagements, including tabling and non-outing activities. Team equipment may be included as part of your expenses. If you anticipate exceeding $250 for an outing or $100 for a tabling or other non-outing activity, please see below for more guidance.

Outings and Events

Outings are events that support our comunidad in getting outdoors and often include a physical activity such hiking, snowboarding, surfing, etc. LO’s mission helps connect us to the outdoors. Exceptions are made when liability constraints prevent an outdoor activity (for example, outdoor rock climbing is not covered under LO’s insurance and must be done indoors) or when extreme weather becomes a barrier. That said, indoor events without an outdoor component are not considered outings and should be reported as ‘Other Events’ for reporting purposes.

Tabling & Non-Outing Expenses

Indoor events are always welcome for community outreach. These engagements, including tabling, presentations, or other indoor activities without an outdoor element should be reported as ‘Other Events’. For reporting accuracy, this distinction is important, as the data is shared with funders, partners, and stakeholders and must remain aligned with LO’s mission. ‘Other Events’ come with a pre-approved budget of up to $100, with the option to request additional funds if needed.

Submit a Budget Request

If you are expecting more than $250 in total expenses for an outing or more than $100 for a tabling engagement or non-outing activity, please email Luis Rincón (with Ruby Rodriguez CC’d) at least three weeks in advance of the scheduled date with your proposed budget. Luis R. will work with you to make any necessary revisions and finalize the budget.

Proposed outing and non-outing budgets are essential in helping the national support staff manage LO’s overall budget and resources effectively.
