Budget Guidelines & Expense Types

  • You are pre-approved for:
    • Up to $250 for outings
    • Up to $100 for other engagements (tabling, indoor/non-outing activities)
  • Team equipment can be included in these expenses. Be sure to inventory any reusable team equipment by adding it to the equipment inventory form.
  • If you expect to exceed these amounts see ‘Submit a Budget Request‘ below
Outings & Events
  • Outings:
    • Focus on getting the comunidad outdoors
    • Usually include physical activities (e.g., hiking, snowboarding, surfing)
    • Align with LO’s mission to connect people to the outdoors
  • Exceptions:
    • When liability limits outdoor activities (e.g., rock climbing must be indoors)
    • When extreme weather prevents outdoor events
  • Important:
    • Indoor-only events are not considered outings
    • These should be reported as ‘Other Events
Tabling & Non-Outing Activities
  • Includes:
    • Tabling
    • Presentations
    • Indoor events without an outdoor component
  • These should be reported as ‘Other Events
Submit a Budget Request
  • Required if:
    • Outing expenses exceed $250, or
    • Non-outing expenses exceed $100
  • Steps:
    • Your regional coordinator (if you have one) or Luis R. are available to touch based for guidance on expenses
    • Email your request to Luis Rincón (CC Ruby Rodriguez + Your Regional Coordinator)
    • Send at least 3 weeks in advance
    • Include your proposed budget with breakdown details. Be sure to include the total amounts for each line item, including taxes and any additional fees
